Terms & Conditions

De Gulle Beemden

Version: 29/08/2026

1. Identification and applicability

These terms and conditions apply to every booking and stay at De Gulle Beemden, located at Linieweg 2, 2235 Houtvenne, NC Consult, enterprise number 0674 7045 81, hereinafter referred to as “De Gulle Beemden”.

The accommodation is offered as temporary, furnished accommodation for both business and personal stays.

By making a booking, the guest declares that they have read and accepted these terms and conditions and the house rules.

These terms and conditions form an integral part of the agreement between De Gulle Beemden and the guest.

2. Nature of the stay

De Gulle Beemden provides fully equipped and furnished accommodation for temporary stays.

The accommodation is intended for people who temporarily need a place to stay for purposes such as:

  • holidays or leisure;
  • a business assignment;
  • temporary professional employment;
  • a temporary stay while awaiting a home;
  • a temporary situation between two places of residence;
  • other personal or professional purposes.

The accommodation is not offered as a permanent residence.

The stay relates exclusively to the temporary provision of the booked accommodation for the agreed period.

The booking does not give the guest any right to use the accommodation as a permanent home or principal residence.

3. No registration of residence or permanent occupancy

The accommodation at De Gulle Beemden is not intended for permanent occupancy or use as a principal residence.

The guest may not:

  • register their official residence at the address of De Gulle Beemden;
  • use the address of De Gulle Beemden as their official principal residence;
  • use the address as a residential address for registration in the population register, foreigners register or waiting register;
  • use the address as their official residence with public authorities, employers, insurers, banks or other bodies, unless legally required or otherwise expressly permitted;
  • establish a postal or registered residential address at the accommodation with the intention of making it their principal residence.

When entering into the agreement, the guest declares that the accommodation will be used solely as a temporary place to stay and that they will retain another official principal residence during the stay or otherwise have a lawful principal residence.

The guest will not apply to change their registered residence or register at the address of De Gulle Beemden.

If a guest nevertheless submits such an application or in practice takes up permanent residence at the address, this constitutes a serious breach of the agreement.

The guest undertakes to inform De Gulle Beemden immediately and, where necessary, cooperate fully with any administrative correction.

This provision does not affect the statutory powers of the competent public authorities concerning the determination or registration of a principal residence.

4. Booking

A booking becomes final only after De Gulle Beemden has received the required payment or deposit.

The guest receives a booking confirmation containing the relevant details, including:

  • the guest’s name;
  • arrival and departure dates;
  • number of guests;
  • agreed price.

The guest is responsible for the accuracy of the information provided when booking.

A booking is personal and may not be transferred to another person without prior permission.

5. Number of guests

The accommodation may only be used by the number of people stated in the booking and must not exceed the maximum permitted occupancy for the property concerned.

Additional people may not stay overnight in the accommodation without prior permission.

The guest is responsible for anyone they invite or allow access to the accommodation.

6. Length of stay

The agreed length of stay is stated in the booking confirmation.

The guest must leave the accommodation no later than the agreed departure date and time.

An extension is possible only with prior confirmation from De Gulle Beemden and subject to availability.

The guest cannot decide unilaterally to extend the stay.

7. Price and payment

The price of the stay is the price communicated and confirmed at the time of booking.

Any additional charges will be communicated in advance.

Payments must be made according to the payment conditions stated at the time of booking.

If payment is late, De Gulle Beemden may cancel the booking after prior notification, in accordance with the applicable conditions.

For longer stays, De Gulle Beemden may require deposits, periodic payments or full payment in advance.

8. Payment conditions

Stays of up to 27 days

The full amount must be paid when booking.

Stays of 28 days or more

Within 7 days of receiving the provisional booking option, the guest must pay for the first “month” of the stay as a deposit. Payment must be made to account number BE06 7380 2271 7422 in the name of Nele Colpaert. The booking becomes final only once we have duly received payment. The booking option expires if the deposit is not paid on time.

The guest must pay for the following “month” no later than 15 days before that period begins. If payment is not received on time, De Gulle Beemden reserves the right to notify the guest and grant a short additional payment period. If payment remains outstanding, De Gulle Beemden may terminate the agreement.

In that case, the cancellation conditions apply and De Gulle Beemden has the right to offer the accommodation to other guests.

In these payment and cancellation conditions, a “month” means a consecutive one-month period of stay beginning on the first day of the contractual stay. A “month” therefore does not necessarily coincide with a calendar month and may begin on any day of the month.

9. Cancellation by the guest

Stays of up to 27 nights

  • More than 14 days before arrival: free cancellation and a 100% refund.
  • From 14 days up to and including 3 days before arrival: 50% of the total accommodation cost is charged.
  • Less than 3 days before arrival: 100% of the total accommodation cost is charged.
  • No refund is provided in the event of a no-show or early departure.

  • More than 31 days before arrival: free cancellation.
  • From 31 days up to and including 15 days before arrival: 75% of the accommodation cost for the first “month” is charged.
  • From 14 days before arrival: 100% of the accommodation cost for the first “month” is charged.

The following cancellation policy applies to early departure during the stay:

  • Up to 31 days before the next “month” begins: free cancellation.
  • From 31 days to 15 days before the next “month” begins: 75% of the accommodation cost for the next “month” is charged.
  • From 14 days before the next “month” begins: 100% of the accommodation cost for the next “month” is charged.

In these payment and cancellation conditions, a “month” means a consecutive one-month period of stay beginning on the first day of the contractual stay. A “month” therefore does not necessarily coincide with a calendar month and may begin on any day of the month.

The guest remains responsible for damage caused by visitors or other people for whom they are responsible.

14. Visitors and third parties

Visitors are permitted between 8 am and 10 pm, provided they do not cause a disturbance and the maximum occupancy of the accommodation is not exceeded.

People not included in the booking may not stay overnight without prior permission from De Gulle Beemden.

The guest remains responsible for the behaviour of visitors.

15. Smoking

Smoking is not permitted inside the buildings.

This prohibition includes cigarettes, cigars, pipes and electronic cigarettes.

The guest must maintain the accommodation in a normal and hygienic condition throughout the stay.

Excessive soiling may result in an additional cleaning charge and termination of the stay without a refund of the remaining accommodation costs.

19. Safety and fire safety

The guest must comply with all safety instructions.

It is prohibited to:

  • tamper with fire alarms or other safety equipment;
  • block emergency exits or escape routes;
  • move firefighting equipment or use it for other purposes;
  • cover or disable smoke detectors;
  • use candles or other forms of open flame;
  • use fireworks or other flammable substances or materials.

In the event of a fire or other emergency, the guest must immediately notify the emergency services and follow the evacuation instructions.

20. Energy, water and installations

The accommodation has various technical installations and facilities.

The guest must use these solely for their intended purpose.

Guests may not make changes to technical installations, electrical facilities, heating systems, ventilation, air conditioning or other fixed installations themselves.

In the event of a technical problem, the guest must inform De Gulle Beemden as soon as possible.

21. Personal belongings

The guest is responsible for their own personal belongings.

No provision of these terms and conditions is intended to limit statutory liability that cannot be excluded by agreement.

  • serious damage to the building;

  • government measures;
  • serious technical defects;
  • prolonged disruption to electricity, water or other utilities;
  • other exceptional circumstances.

De Gulle Beemden will inform the guest as soon as possible and, where reasonably possible, seek an appropriate solution.

24. Breach of the conditions

If the guest seriously or repeatedly breaches the terms and conditions or house rules, De Gulle Beemden may require the guest to leave the accommodation immediately, and the agreement will be terminated.

This may apply in cases such as:

  • exceeding the maximum permitted number of guests;
  • serious noise disturbance;
  • illegal activities;
  • deliberate damage;
  • tampering with fire safety equipment;

The guest is responsible for providing accurate and complete information.

26. Privacy
